1. Purpose of this Privacy Policy
This Privacy Policy explains how BAUER processes personal information through our website at www.bauerweb.co.za (the "Website"), including our enquiry form and our online meeting-booking tool. It also explains your rights and how to contact us.
This Privacy Policy is intended to meet the openness and notification requirements of the Protection of Personal Information Act, 4 of 2013 ("POPIA").

3. What personal information we collect
We aim to collect only personal information that is adequate, relevant and not excessive for the purposes described below.
3.1 Information you submit via our enquiry form
When you contact us through the Website enquiry form, we collect:
Your email address
The type of business you have (selected from a dropdown)
The package you are interested in (selected from a dropdown)
Details of your current website and/or social media accounts (free-text field)
Any additional information you choose to share in the "anything else I should know" field (free-text field)
Because two of the fields are free-text, you may include personal information about yourself or others in them. Please only share what is necessary for your enquiry, and please do not submit special personal information (for example, health, religious or biometric information) or confidential financial, account or payment details through the enquiry form.
3.2 Information you provide when booking a meeting
After you submit the enquiry form, you are given the option to book a meeting with us using an embedded Google Calendar appointment tool. If you choose to book a meeting, this tool collects:
Your name and surname
Your email address
Your selected appointment date and time
Any information you add in the booking tool (for example, notes about your enquiry)
The booking tool is provided by Google. When it loads and when you use it, your browser connects to Google's systems, and Google receives this information in order to schedule the meeting and send calendar confirmations. Google may also set cookies or similar technologies through this tool. See section 7 ("Cookies and similar technologies") and section 9 ("Transfers of personal information outside South Africa").
3.3 Information collected automatically when you use the Website
Even if you do not submit the form or book a meeting, our Website and hosting infrastructure may process limited technical information that can include:
Device and browser information (for example, browser type and version, operating system)
Approximate location information derived from technical data (for example, city or region)
IP address and server logs, which may be processed for security, fraud prevention, troubleshooting and performance
3.4 Website analytics (Google Analytics)
We use Google Analytics (Google Analytics 4, or "GA4") to understand how visitors use our Website and to improve our content and performance. When Google Analytics is active, the Website may process analytics data such as:
Information about your interaction with the Website (for example, pages visited, time spent, and clicks)

Directly from you when you submit it via the enquiry form or the meeting-booking tool

From Google when the embedded booking tool and analytics load and operate, depending on your interaction and your browser settings

6. Is providing your personal information voluntary or mandatory?
Submitting information via our enquiry form and booking a meeting are both voluntary. However:
If you do not provide the fields marked as required on the enquiry form, we may not be able to respond to your enquiry or provide the information or service you requested.
If you do not provide your name and email address when booking a meeting, we will not be able to schedule the meeting with you.
7. Cookies and similar technologies
7.1 Analytics cookies
Our Website uses first-party cookies and/or similar identifiers through Google Analytics to distinguish unique users and sessions and to measure how the Website is used.

7.2 Cookies from the embedded booking tool
The embedded Google Calendar booking tool may set cookies or use similar technologies when it loads or when you interact with it. Where possible we use privacy-conscious settings, but Google may still process information through this tool as described in sections 3.2 and 9.
7.3 Managing cookies
You can control or delete cookies through your browser settings. Please note that blocking certain cookies may affect how the Website functions.
We are adding a cookie preferences tool to the Website. Once it is available, you will be able to accept, reject or manage analytics cookies directly, and analytics cookies will only be set in line with the preference you choose.
8. Who we share personal information with
We may share personal information with service providers ("operators" under POPIA) who process information on our behalf, namely:
Framer — our website platform and hosting provider, which hosts the Website and processes and delivers our enquiry form submissions.
Google — as our:
email provider (Gmail), which delivers and stores the enquiry emails we receive;
website analytics provider (Google Analytics); and
meeting-scheduling provider (Google Calendar), which powers the embedded booking tool.
We only share information as needed for the purposes described in this Privacy Policy, and we require appropriate safeguards where personal information is processed by operators on our behalf.
9. Transfers of personal information outside South Africa
Some of our service providers process or store personal information outside the Republic of South Africa (for example, on global cloud infrastructure). Where cross-border transfers occur, we take steps intended to ensure that the transfer is permitted under POPIA and that your personal information remains protected.
Examples of potential cross-border processing include:
Website hosting and platform infrastructure provided by Framer
Google Analytics infrastructure used to provide analytics services
Email (Gmail) infrastructure used to receive and store enquiries
Google Calendar infrastructure used to provide the meeting-booking tool
10. How long we keep personal information
We keep personal information only as long as reasonably necessary for the purpose for which it was collected, unless a longer retention period is required or permitted by law.
Typical retention periods:
Enquiry form submissions and related emails: up to 24 months from your last contact with us, unless we need to retain them longer for lawful purposes (for example, resolving disputes or keeping records).
Meeting-booking information: kept for as long as needed to arrange and follow up on your meeting, after which it is handled in line with the enquiry retention period above.
Website security logs: typically 30–180 days, depending on our hosting and platform settings.
Analytics data: retained according to our Google Analytics retention settings, which are configured within the analytics platform.
11. Security safeguards
We take appropriate, reasonable technical and organisational measures to protect personal information against loss, damage, unauthorised destruction, and unlawful access or processing.
These measures may include:
Access controls and least-privilege permissions
Secure hosting and encrypted connections (HTTPS)
Limiting access to enquiry submissions and booking information
Using reputable hosting and service providers
12. Data breach notification
If we have reasonable grounds to believe that your personal information has been accessed or acquired by an unauthorised person, we will notify the Information Regulator and affected individuals where required by POPIA.

Request correction or deletion of personal information that is inaccurate, irrelevant, excessive, out of date, incomplete, misleading, or unlawfully obtained

Lodge a complaint with the Information Regulator

14. Direct marketing
We do not use enquiry form submissions or meeting bookings to send unsolicited direct marketing communications.
15. Children
Our Website is not intended for children. If you believe a child has provided personal information to us, please contact info@bauerweb.co.za so that we can address the matter.
16. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted on this page with a revised "Last updated" date.
17. Complaints to the Information Regulator (South Africa)
If you believe your personal information has been processed in a manner that violates POPIA, you have the right to lodge a complaint with the Information Regulator.
